The Moving Process Here are the basic steps you can count on us taking: Needs Analysis and Survey When you first contact us about your move, we come to your offices to discuss your needs and expectations more fully, get familiar with the “lay of the land,” and do an inventory of everything that needs moving. This step is essential in order for us to provide you with as accurate an estimate as possible of what your move will cost. The Written Estimate Using our Needs Analysis and Survey as the basis for our cost review, we provide you with a final written estimate of what you can expect to pay for your office relocation. We have a track record, thanks to our long experience, of arriving at remarkably precise figures. The Customer Agreement This is your move contract. It spells out your move locations, move dates and times, chosen A-1 Freeman moving services, and the cost of the move as well as various safety provisions, insurance coverage, and other important details. When you sign this, agreeing to our terms and pricing, we officially schedule your move. Pre-Move Planning Following the Customer Agreement, we conduct one or a series of planning meetings with you – as many as required – to work out the details of your office relocation. You’ll be introduced at this point to the A-1 Freeman Project Manager we’ve assigned you, who’ll get together with your select employees and department heads to discuss every aspect of your move, including ... the equipment we’ll be using – cranes, rigging, etc., as necessary, the number of trucks and docks required for your move, preparations you and your employees must make before our crew arrives on moving day, packing arrangements – specifying what you’ll pack, what you want us to pack, and other considerations, labeling – to make sure packed items are properly placed and installed in your new offices, building hours or hours of operation at your current and new offices during which we can perform the move, floorplans of both your current and new offices, including the location of elevators, stairs, windows, hallways, etc., identifying who from your company will be in charge of working with your A-1 Freeman Project Manager during the move (to avoid too many chiefs and too much confusion!), and exchanging the contact information of all key players involved in the move at your end and ours. Rest assured, your A-1 Freeman Project Manager will work closely with you throughout your office relocation to keep the move flowing smoothly and your downtime to an absolute minimum. The Move Plan After all the pre-move planning has been completed, we provide you with written confirmation of the essential details worked out in our discussions. This, then, with your approval, forms the basis of our move execution. Delivery of Moving Materials We make sure you receive all the materials you need for self-packing beforehand so when move day arrives our crew can hit the ground running. These materials typically consist of ... a labeling system, boxes, crates, and other such items. Packing We’re not just a mover. We can help you pack, too. The Move On the day of your move (and, certainly, your move may require more than one day): The Project Manager and Crew Supervisor we’ve assigned you arrive onsite and introduce our key crew members to your team. A walk-through of your current facility is conducted to familiarize our crew with the floorplan. We prep your offices, padding rails, corners, doors and jambs, and laying carpet to protect surfaces from damage during the move process. We disassemble and pack necessary items as arranged with you beforehand. We take care of any rigging needed to move large, heavy furniture and equipment. We disconnect (and can later, in your new offices, reconnect) your I.T. equipment, taking special care to keep your server downtime minimal. We load your shipment into our trucks. A final walk-through of your offices assures that everything is loaded and the move-out is finished. In transporting your shipment, we cycle our trucks and crew between your current offices (the origin) and your new offices (the destination) for maximum efficiency until every truckload is delivered. We unload your shipment and place its various elements in your new offices as indicated by the labeling. We reassemble any items taken apart for the move and provide installation as necessary and prearranged. The Project Manager accompanies you in a final walk-through of your new offices to ensure that everything is completed to your satisfaction and your business is ready to resume normal operations. The Post-Move Follow-up Having completed the move, your A-1 Freeman Project Manager will call you to perform a final “quality check” and discuss any issues remaining. If necessary, we’ll send a crew out, post-move, to resolve issues, help place items where you want them, hang whiteboards, artwork, and monitors, and pull empty crates out – whatever you need done.
